1. Purpose and scope
The Alignment Alchemist™ (the “Business,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and safeguard personal information when you use our website, request resources, communicate with us, purchase an offering, book or participate in coaching, or otherwise interact with the Business.
This policy is intended to support compliance with Canada’s Personal Information Protection and Electronic Documents Act (“PIPEDA”), Canada’s Anti-Spam Legislation (“CASL”), and other privacy laws that may apply. It does not create rights or obligations beyond applicable law.
Using the website means that you acknowledge this policy. Where consent is required, we will seek it in a form appropriate to the sensitivity of the information and the purpose. Merely visiting the website does not constitute consent to every practice described here.
2. Who we are and accountability
The Alignment Alchemist™ is a registered Ontario sole proprietorship owned and operated by Jennifer Barnhart. Jennifer Barnhart is responsible for privacy compliance and for responding to questions, access or correction requests, withdrawal requests, and complaints.

3. Personal information we collect
We collect only information reasonably necessary for identified purposes. Depending on how you interact with us, this may include:
Contact and communication information
- Name, email address, telephone number, mailing address, and communication preferences.
- Messages and correspondence sent through email, website forms, social media, or WhatsApp.
Purchase, booking, and service information
- Offer purchased, transaction identifier, payment status, purchase history, appointment details, time zone, and attendance information.
- PayPal processes payment-card and financial details. We do not intentionally collect or store complete payment-card numbers.
- Calendly booking information and Zoom meeting details.
Coaching information
- Information you voluntarily provide through intake questions, assessments, reflection exercises, worksheets, coaching communications, goals, preferences, session notes, and client reports.
- Please do not provide medical, diagnostic, crisis, or other highly sensitive information that is not necessary for coaching. Coaching is not medical care, psychotherapy, crisis support, or another regulated health service.
Alignment Audit and email information
- First name and email address submitted to receive the Alignment Audit™.
- Whether you separately selected the optional marketing checkbox, plus the consent date, source page, and version of the wording shown.
- Email engagement and delivery information, such as delivery, opens, and link clicks, where enabled by MailerLite and permitted by law and your settings.
Website and device information
- IP address, browser and device type, operating system, pages viewed, referral source, approximate location derived from IP address, cookie or advertising identifiers, and website interactions.
- Information collected by Google Analytics, Google Ads, Meta/Facebook Pixel, and Facebook or Instagram embedded tools, where those tools are active and permitted by your consent choices.
4. How we collect information
We collect information directly from you when you submit a form, request the Alignment Audit™, opt in to marketing, purchase an offer, book an appointment, participate in coaching, or contact us. We may also receive limited information from service providers such as PayPal, Calendly, MailerLite, Zoom, Google, Meta, our website host, and cloud-storage providers. Technical information may be collected automatically through cookies, pixels, scripts, server logs, and similar technologies, subject to applicable consent requirements.
5. Why we use personal information
- To deliver requested resources, products, coaching, client support, and service communications.
- To process and confirm purchases, administer refunds or disputes, and maintain accounting and business records.
- To schedule and conduct sessions and send booking or meeting information.
- To personalize and administer coaching, prepare client materials and reports, and maintain appropriate service records.
- To answer inquiries and communicate through the channel you choose.
- To send marketing only where we have the required consent or another lawful basis.
- To operate, secure, troubleshoot, measure, and improve the website and offerings.
- To understand advertising performance and audiences where analytics or advertising tools are enabled and consented to.
- To prevent fraud, misuse, security incidents, and unlawful activity; establish or defend legal claims; and comply with legal, tax, accounting, insurance, and regulatory obligations.
We will not use personal information for a materially new purpose without notice and, where required, additional consent.
6. Alignment Audit delivery and email marketing
Requesting the Alignment Audit™ and subscribing to ongoing marketing are separate choices.
- Audit delivery: If you provide your first name and email address to request the Audit, we use them to send the requested resource and related delivery or troubleshooting messages. Every valid requester may be added to the “Alignment Audit — Delivery” group for this one-time purpose.
- Optional marketing: You receive ongoing insights, resources, and offers only if you select the separate, optional, unchecked marketing checkbox or otherwise provide valid consent. Only those contacts are added to the “Alignment Audit — Marketing Consent” group.
- Declining marketing does not prevent delivery of the Audit or affect access to purchased services.
- You may withdraw marketing consent at any time using the unsubscribe link or by emailing us. Withdrawal does not affect processing already carried out and does not prevent necessary transactional or service messages.
Marketing messages will identify the sender, include required contact information, and provide a working unsubscribe mechanism. We use MailerLite to manage contacts, consent status, delivery, and email communications.
7. Cookies, analytics, advertising, and social tools
Our website may use essential cookies and similar technologies needed for security, form operation, fraud prevention, and core functionality. It may also use non-essential analytics, advertising, and social-media technologies, including Google Analytics, Google Ads, Meta/Facebook Pixel, and Facebook or Instagram embedded tools.
Where required, non-essential analytics or advertising technologies will not load until you make a choice through a cookie-consent banner or similar control. You may reject or later change non-essential cookie choices. Browser controls may also block or delete cookies, although some website features may not function correctly.
Third-party tools may combine information from this website with information they hold about you, according to their own privacy notices and your account or advertising settings.
8. Service providers and disclosures
We do not sell personal information. We disclose information only as reasonably necessary for the purposes described in this policy, with consent, or as permitted or required by law. Current categories and known providers include:
- MailerLite — email delivery, contact management, consent records, and marketing communications.
- PayPal — payment processing, transaction confirmation, refunds, and disputes.
- Calendly — appointment scheduling and reminders.
- Zoom — video meetings and related meeting communications.
- Google services — Google Analytics, Google Ads, and Google Drive cloud storage.
- Meta services — Meta/Facebook Pixel and Facebook or Instagram embedded tools.
- WhatsApp — optional client or inquiry communications when you choose that channel.
- Website hosting, domain, security, and technical-support providers necessary to operate the site.
We do not currently use an electronic-signature provider, coaching/client portal, learning-management platform, separate CRM other than MailerLite, or website-chat service. If those practices change, we will update this policy before or when the new collection or disclosure begins.
We may also disclose information to professional advisers, insurers, regulators, law enforcement, courts, or transaction counterparties where reasonably necessary and legally permitted, including in connection with a reorganization or sale subject to appropriate protections.
9. Cross-border processing
Some providers may process or store personal information outside Ontario or Canada, including in the United States or other jurisdictions where they or their subprocessors operate. Information in another jurisdiction may be accessible to courts, law-enforcement agencies, or other authorities under that jurisdiction’s laws. We remain accountable for personal information transferred to service providers for processing and use contractual or other reasonable measures appropriate to the sensitivity of the information.

10. WhatsApp and electronic communications
If you choose to communicate through WhatsApp, the communication is also subject to WhatsApp/Meta’s terms and privacy practices and may be processed outside Canada. WhatsApp is not intended for emergencies, crisis communications, payment-card details, identification documents, medical records, or highly sensitive coaching information. Email [email protected] if you prefer not to use WhatsApp.
11. Safeguards and storage
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity and volume of information. Coaching and business records may currently be stored on a dedicated business computer and in approved service-provider systems such as Google Drive. Safeguards should include access controls, strong unique passwords, multi-factor authentication where available, current software, secure backups, and device encryption where supported.
No system is completely secure. Please use discretion when sending information electronically. If we determine that a breach creates a real risk of significant harm, we will take steps required by applicable law, which may include notification and record-keeping.
12. Retention and deletion
We retain personal information only as long as reasonably necessary for the purposes described, to provide services, maintain appropriate business and coaching records, resolve disputes, enforce agreements, and meet tax, accounting, insurance, legal, and regulatory obligations. Retention depends on the type of record, sensitivity, relationship status, limitation periods, and legal requirements.
- Audit-delivery and consent records are kept long enough to document the request, delivery, consent choice, and compliance history.
- Marketing contact information is kept until you unsubscribe or we no longer need it, subject to suppression records needed to honour your choice.
- Transaction and accounting records are retained for the period required by applicable tax and business-record laws.
- Coaching records are retained only while reasonably needed for service delivery, continuity, legal obligations, dispute management, or other disclosed purposes.
When information is no longer required, we take reasonable steps to securely delete, destroy, or anonymize it. Service-provider backups and legal retention obligations may delay complete deletion.
13. Your choices and privacy rights
Subject to applicable law and identity verification, you may request access to personal information we hold about you, ask us to correct inaccurate information, withdraw consent where processing depends on consent, object to or restrict certain uses where applicable, or request deletion where appropriate. We will explain if a legal exception or retention obligation limits a request.

Jennifer Barnhart, Privacy Officer, will review the request and respond within the period required by applicable law. You may also contact the Office of the Privacy Commissioner of Canada or another privacy regulator with jurisdiction.
14. Adults only
The website, resources, products, and coaching services are intended only for people who are at least 18 years old. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided information, contact us so we can investigate and take appropriate steps.
15. International visitors
We may serve clients in Canada, the United States, the United Kingdom, the European Union/European Economic Area, and other countries. Depending on where you live, local law may provide additional rights. We will respond to valid requests as required by applicable law. Nothing in this policy limits rights that cannot lawfully be waived.
16. Third-party links and platforms
Our website and communications may link to or embed third-party websites, social-media services, payment pages, booking tools, or other platforms. Their privacy practices are governed by their own notices. We encourage you to review those notices before providing information.
17. Changes to this policy
We may update this policy to reflect changes in law, technology, providers, or business practices. We will post the revised version with a new “Last Updated” date and provide additional notice or obtain consent when required. Continued use does not replace consent where applicable law requires a new choice.
